Role Description

GossRV is pursuing a Fleet and Facilities Administrator who is a detail-oriented, thorough, and organized team player. This person will play a key role in supporting the administrative workload of the Fleet and Facilities team.  This person will collaborate and communicate closely with employees, vendors, and customers to ensure that all tasks are addressed efficiently and according to the prescribed systems and procedures of the department.


Responsibilities include:

• Become proficient with software systems currently employed by the fleet and facilities department (Whip Around, ShopMonkey, SalesForce, Microsoft office)

• Monitor all incoming inspection reports and take necessary steps according to established workflows for the Fleet and Facilities team

• Assist with scheduling maintenance for coaches as requested

• Monitor maintenance schedules utilizing Whip Around and alert appropriate team members when services are due for vehicles in the fleet

• Help maintain and improve a system for tracking service history, repair status, preventative maintenance schedules and other fleet data as needed

• Assist as needed by calling to order parts, find mobile repair, tow services, etc.

• Communicate by phone or email with vendors, team members, partners and clients as needed

• Contact vendors or shops to check repair status, pay invoices, or schedule maintenance

• Provide general administrative support to management as requested


Qualifications and Skills

• Minimum of 2+ years administrative experience

• Basic computer skills and ability to learn new systems/software quickly

• Strong written and verbal communication skills

• Must be highly organized and able to manage multiple tasks simultaneously

• Competent collaborator and skilled cross-functional communicator

• Strong time management skills with respect for deadlines

• Ability to use good judgement in maintaining confidentiality of company, employee, and client information

• Ability to identify errors and solve problems.
