Role Description

This role will assist with the daily administrative tasks of the maintenance team, including monitoring systems, scheduling maintenance and repairs, and communicating with clients, vendors and owners as needed.

On a day-to-day basis, you’ll be responsible for supporting the maintenance team through the key areas of responsibility.

Key Areas of Responsibility:

·       Assist with all repair scheduling, finding mobile vendors as needed and communicating status updates

·       Support payments and collection of invoices for all maintenance related events

·       Monitor Whip Around inspections and service alerts daily, and communicate any actionable items in the daily meeting or department OneNote

·       Track daily to-do list for maintenance and ensure follow through on all actionable items

·       Communicate with internal departments with status updates and any changes needed due to maintenance events

·       Manage Whip Around, Shop Monkey, and Samsara accounts and coordinate technical support as needed

·       Assist the Technical Support Specialist with tracking activity and communication as needed

·       Provide support to the Director of Operations for creating invoices and communicating with the accounting department to ensure timely delivery of Nationwide Invoices

·       Perform additional tasks as requested by the Maintenance Coordinator or the Director of Fleet & Facilities

·       Demonstrate a commitment to quality and excellence in all tasks

Qualifications:

·       Demonstrates a commitment to quality and excellence in all tasks

·       Strong organizational skills – able to manage multiple systems at the same time

·       Strong communication skills

·       Able to learn new organizational software systems quickly

·       Experience with

·       Flexible schedule during the summer – will require some work on weekends

·       Strong people skills – comfortable contacting vendors, investors and clients by phone or email

·       Comfortable with some short seasons of higher stress due to fluctuating workload during the summer months

·       Team player

·       High school diploma or equivalent

Compensation:

·       Pay range $40,000-$45,000
