Role Description

This role will assist with the daily administrative tasks of the operations department, which includes the Logistics, Maintenance, and Coach Operator teams.

On a day-to-day basis, you’ll be responsible for supporting the operations team through the key areas of responsibility.

Key Areas of Responsibility:

·       Assist with scheduling for the department and monitoring follow through on daily tasks for the maintenance and logistics teams

·       Assist with communication with vendors, hubs and clients as needed

·       Support the Logistics Manager with Driver travel and accommodation bookings

·       Support the Logistics/Operations team with documentation, updating internal systems (HubSpot, Whip Around)

·       Serve as the primary contact for Verizon

·       Become familiar with and serve as the department expert on HubSpot – coordinating with the sales team

·       Collaborate with the Client Experience team for delivering special requests as needed

·       Create weekly updates for all strategic hubs with information on all coach movement at those hubs

·        Assist the Logistics Manager with housekeeping inventory and special requested items for all rentals

·       Assist with Renters insurance as needed

·       Support the final accounting process as needed for all rentals as needed

·       Support the onboarding and selection process for new coach operators in collaboration with HR and the Logistics Manager

·       Perform additional tasks as requested by the Logistics Manager or the Director of Fleet & Facilities



·       Demonstrates a commitment to quality and excellence in all tasks

·       Strong organizational skills – able to manage multiple systems at the same time

·       Strong oral and written communication skills

·       Able to learn new organizational software systems quickly (HubSpot, Whip Around, Shop Monkey, MS Office)

·       Flexible schedule during the summer – will require some work on weekends

·       Strong people skills – comfortable contacting vendors, investors and clients by phone or email

·       Comfortable with some short seasons of higher stress due to fluctuating workload during the summer months

·       Team player

·       High school diploma or equivalent
